Managing Attendees

Track registrations, manage guest lists, and communicate with your attendees effectively.

Managing your event attendees is crucial for a successful event. Beet provides powerful tools to help you stay organized and keep your guests informed.

Viewing Your Guest List

Access your complete guest list from the Manage Event page under the Guests tab. Here you'll see:

  • Full list of registered attendees
  • Registration date and time
  • Ticket type purchased
  • Answers to custom registration questions
  • Check-in status

Exporting Attendee Data

You can export your guest list at any time as a CSV file. This is useful for:

  • Creating custom name badges
  • Importing to your CRM or email marketing platform
  • Sharing with your team or venue
  • Keeping records after the event

To export, click the "Export" button on the Guests tab and select your preferred format.

Managing Individual Attendees

Click on any attendee to view their full profile and take actions:

  • Edit Information: Update their details if needed
  • Cancel Registration: Remove an attendee and refund if applicable
  • Resend Confirmation: Send the confirmation email again
  • Add Notes: Keep internal notes about specific attendees

Check-In System

Use our built-in check-in system to track attendance:

  • Scan QR codes from confirmation emails
  • Search by name or email
  • Mark attendees as checked in manually
  • View real-time check-in statistics

Bulk Actions

Select multiple attendees to perform bulk actions:

  • Send targeted emails to specific groups
  • Export selected attendees
  • Move attendees between ticket types
  • Cancel multiple registrations at once

Communication Tools

Keep your attendees informed with our communication features:

  • Event Updates: Send updates about schedule changes or important information
  • Automated Reminders: Set automatic reminders before the event
  • Post-Event Follow-up: Thank attendees and collect feedback

When emailing attendees:

  • Keep messages concise and actionable
  • Include clear subject lines
  • Add important dates in the calendar format
  • Provide contact information for questions

Waitlist Management

If your event reaches capacity, Beet automatically creates a waitlist:

  • Waitlisted guests receive notification when spots open
  • Set automatic conversion from waitlist to registered
  • Manually approve waitlist entries
  • Set waitlist capacity limits

Attendee Analytics
